Log a meeting to your CRM from ChatGPT, by voice
Tell ChatGPT what happened in a meeting, out loud, and have it written to your CRM in Known as linked records.
The best time to record a meeting is on the way out of it. This guide shows how to tell ChatGPT what happened, out loud, and have it written to your CRM in Known as structured records.
You need ChatGPT connected to Known and a CRM set up as in Set up a CRM in Known.
1. Dictate the meeting
In the ChatGPT app, start a new chat and use dictation: tap the microphone in the message box, speak, then send. Dictation turns your speech into a message ChatGPT can act on with Known's tools. (ChatGPT's voice conversation mode doesn't use connected apps; see Use Known by voice.)
Say it the way you'd tell a colleague:
"Log a meeting. I had lunch with Maya Chen and Tom from Brightline today. They're building agents for their support team and want one place for customer context. We agreed to run a two-week trial on one team. Follow up on Wednesday."
2. What ChatGPT writes
With the rules on your tables' pages, ChatGPT:
- Finds the people. It searches
people:contactsfor Maya Chen and Tom. Maya exists; Tom doesn't, and you didn't say his last name, so it names him in the meeting notes instead of creating a contact. - Writes one interaction:
type: meeting, today's date, peoplelinking Maya, organizationslinking Brightline, and a two-sentence summary of what was agreed. - Updates the pipeline:
last_touchtoday,next_action"Follow up", due Wednesday. - Tells you what it wrote and asks about anything it couldn't settle, such as Tom's last name.
It doesn't put Maya's role or LinkedIn on the meeting. Those belong on her contact.
3. Check it
Ask "show me what you wrote", or open the interaction in your browser. Every record shows who wrote it: ChatGPT acting for you.
Tips
- Say who was there and what was agreed. Those are the fields that matter later.
- Say what you don't know. "His last name might be Reyes, not sure" keeps a guess out of your contacts.
- Correct it in the same chat. "Actually it was Thursday" updates the record; its history keeps both versions.
